Web content management
As agreed by DM in March 2023, the process for the management of web content in dedicated sections has changed. It now follows the rules outlined in the document Management of web content.

Web content coordinators
Up to 2 web content coordinators (WCC) are appointed for each existing dedicated section or group of dedicated sections. They will be the liaison between the production unit and the B4 web content team (B4 WCT) for web content updates.
Absences or departure
In case the WCC is absent (holidays, sickness), the other coordinator will act as back-up. If both are absent, the B4 WCT shall be informed in advance and if requested, will act as back-up.
In case, the WCC changes roles, units / organisation, the B4 WCT shall be informed ahead in time about a replacement. The current WCC will ensure a smooth hand-over to the new WCC.
Regular updates (responsibility of WCC)
The WCC is allowed to do regular updates - and ONLY regular updates. Such regular updates include the following 4 cases:
- updating of an existing document which is already available on the website by overwriting document with newer versions in the backend
- uploading a new document in the backend
- adding a new document on an existing webpage
- inserting small-scale updates / corrections in an existing text paragraph on a webpage.
The WCC has the necessary edit rights to perform the above-mentioned tasks
autonomously and release such content / updates instantly. These updates must follow the website styles and rules in all cases!
A WCC can also choose to send regular updates to B4 WCT. In this case, the workflow outlined below applies.
Rules and checks of regular updates
The WCC will carefully study the corporate editorial policy. They will apply and respect these rules when working on a webpage, including the review of corrections / updates of web texts in 3 languages by a native speaker.
The B4 WCT will conduct a post-review of these updates. They will check that the update was performed correctly, meaning the correct styles and layouts were used, updates were performed in all 3 language versions, and the corporate editorial policy was fully respected.
Non-regular updates (responsibility of B4)
For non-regular updates, the WCC shall contact the B4 WCT (estat-webcontent@ec.europa.eu). Such non-regular updates refer to:
- adding new text paragraphs on a webpage
- updating / revising existing content of multiple text passages
- adding visual content of any kind, e.g. images, photos, infographics, videos, iframes, etc.
- conducting substantial revision of existing sections
- creating new sections
Ideally, the information should be provided 5 working days before they should be published. In urgent cases, WCC shall inform the B4 WCT team asap and changes will be processed immediately. Such situations shall remain the exception.
