AGM Back Office Space

In this one-stop-shop of AGM back-office support, you will find all the most important information related to the back-office functionalities of AGM such as user guides for expert meetings and candidate convocations, the latest release notes related to the application and an FAQ and training section. This space has a modern and professional look and was built using SPO in a quick turnaround time. The AGM team were impressed with the ease at which their new back-office space could be developed and with all the possibilities offered by the platform.

Shared meetings

As announced in our previous article related to AGM, the Shared meetings functionality went into production in the AGM back office.

This option allows Responsible Services (RSs) to split the costs by expert directly in AGM. This functionality has changed several menus in the back-office but no doubt improved the efficiency of the meeting management workflow. A Responsible Service Administrator has the responsibility of adding the correct RSs to the shared meetings group, who then have the possibility to split the costs of experts participating in the meetings.

The AGM application is used by over 40 different services across the EU Institutions, Agencies and Bodies (EUIBAs). This functionality can now facilitate an efficient management of meetings and the associated reimbursement costs between these different services associated with the same meetings. Previously, financial assistants were required to manually assign the budget lines to be used to each participant at expense claim level, making the process error prone, and quite long.

 

Candidate Convocation

Since March 2023 AGM has been used for the convocation of Candidates interviews and/or medical visits prior to the recruitment. DG HR and other Services like EAC and DGT have been the first users. By the end of this year, we aim to make this functionality available in AGM to all Services. The workflow of processing the validation & payments of these expenses will be faster via AGM as Candidates will use the Front Office to submit their expenses.
