Upcoming New Features of AGM

A new online portal and improved integrations continue to improve the user experience of internal and external users of AGM.

The AGM application, used by more than 40 different services, plays a large role in connecting the European Commission with the outside world by providing the possibility to organise and manage meetings with experts. It is through this system that the PMO handles the reimbursement of such meeting expenses in a timely and efficient manner.

New developments are in the works for the application which continue to improve the user experience and functionality.

In February, a new online portal for external users of the system will go live. This will allow the external users of the system, primarily the experts using the front office of AGM, to connect through a new url to a portal which contains important and useful information on how they should manage their meetings. A great benefit that will come with this development is the creation of a menu to allow the users to directly contact the AGM support team within the AGM application. Concerning the back office users, they will benefit from a dedicated space built in Sharepoint Online where they will find all necessary information, such as user guides and trainings, to help them manage and handle the expert meetings.  

Between March and April, AGM will also have some technical developments carried out. Firstly, the shared meetings functionality will go into production which will allow more efficient management of meetings where costs are shared among different services. The user acceptance testing (UAT) phase for this will begin in February with the relevant key users. In addition, an integration between AGM and RegExp* will go live. This will allow the automatic sharing of documents required by the users of both systems, reducing the need to complete this manually.

Finally, from 1st March, DG HR will use AGM to send convocations to candidates for their interviews or medical appointments. Other services who handle recruitments and process the reimbursements for such expenses will be onboarded later in the year. This functionality, previously handled by a back-office system called APEX-C, has been developed in an effort to streamline actions and promote the reusability of processes across our IT landscape.
