"On Behalf" Functionality Available in Staff Contact

It is now possible to submit a form in Staff Contact on behalf of another person.

A long-awaited functionality has just been put into production in Staff Contact. This new feature allows you to make a request ‘on behalf’ (pour le compte d’autrui) of another person for any type of form.

You will see in the top left corner a button which you can toggle between ‘Myself’ and ‘On behalf’. Click the button to make the request on behalf of someone.

You will be presented with an alert to inform you that you will not receive any notifications about this request as you are only opening it on another person’s behalf.

Only the PerID, the Personal Number and Unique Payroll Number (NUP) of the person for whom you are making the request can be indicated. Due to the high risk of error, it is recommended to not enter the name of the person. Their unique numbers are sufficient to identify them correctly. Once you have entered the correct numbers, the person’s name will appear. You can now proceed to describe the request. Remember to press Submit !

The person you have sent the request on behalf of will receive a notification via email. Their ticket will be created in Staff Contact which means it will be visible in both My Ticket History in the Front Office and JIRA in the Back Office. The gestionnaire will see in JIRA both the name of the person who created the ticket and user they created the ticket on behalf of.

In order to protect the data of the PMO gestionnaires, if the colleague who created an ‘on behalf’ ticket belongs to the PMO, then their name will not appear. For all other staff (non-PMO), the name of the creator should appear.
