Procedure and timing (2011 yearbook)

| 2nd February | Kick-off meeting at 10 o'clock in BECH A4/045 |
| 15th February | DEADLINE for the data extractions! The units should send the data extractions in Excel for the tables and graphs to Åsa and for maps to ESTAT GISCO MAPS. Please provide all textual information in German, English and French from the start. |
| by15th March | The units will get a first English draft of the tables, graphs and maps. The translated versions will be produced as soon as the units have approved the final English version. |
| 15th April | DEADLINE for the texts! Send the English chapter text to Åsa in unit E4. Each chapter text will then be sent to English editing (DGT) by unit E4 and the chapter authors will be asked to approve the suggested changes and send back a final version. |
| Early May | Compilation of the whole Word manuscript in English. |
| 16th May | Unit E4 will now send the whole publication to translation into German and French (DGT). The English version of the text + all final tables, graphs and maps will be sent to proofreading (Publications office) at the same time. |

Rules for the 2011 regional yearbook
• The units are requested to reduce the amount of text for each chapter and to streamline the text structure with Statistics Explained, but we will not use Statistics Explained as the means of producing the publication yet - that is planned for next year when we have gained more experience.
• The chapters will be published in Statistics Explained as articles as soon as the English version of all content has been proofread and approved by the units, which will reduce the publishing time of the content considerably compared with the layout version (in print and PDF).
• We will use English as the main production language. All chapters have to be written in English, even if the chapter author is more fluent in German or French. It gets too complicated to work with all three languages in parallel and it increases delays.
• The units are still requested to provide us with the titles, subtitles and footnotes to the tables, maps and graphs in all three languages from the start. This is to speed up the publication process and not having to wait for the translations to be ready before we can start producing the tables, maps and graphs in all three languages (parallel processes decreases delays).
• We are going to keep the same routines for quality checking of language and content as in previous years. Each chapter will be sent to English editing by DGT before the whole publication is sent to translation and then the publication will be proofread in all three languages in both Word and PDF by the Publications office before the printing can start.
• An external contractor (Abaco) will be responsible for this year's map production, which makes us less flexible, regarding both timing and the quality of the files. Detailed rules for making the data extractions for the maps are going to be communicated both to the units for applying and to the contractor for checking.
• Colour schemes for the maps; we are going to apply the publications theme colours for every chapter as defined in the Eurostat graphical style guide, which will change the chapter numbering in some cases. This will make it easier to reuse the same map in other publications as well.
• Introduce maps with NUTS 3 regions, for all subjects for which we have available data (e.g. Population, GDP, Labour market and Tourism).
• For the tables and graphs, the units are requested to apply the same layout rules in Excel as for SIF's and all other Eurostat publications. For the print layout of tables and graphs, we are going to start the consultation process between the layout company (Jouve) and the units much earlier compared to last year.
