Eurostat regional yearbook 2018, draft timetable

I. Preparatory phase
20 December 2017 Deadline for Eurostat units responsible for each chapter to provide ideas on content to be included in the next edition of the publication (e-mail with questions).
30 January 2018 Meeting with the Coordination group for the Regional yearbook.
5-16 February Consultation with participating units to collect feedback on the draft version of the detailed chapter plan.
2 March Finalised detailed chapter plan will be distributed; no more structural changes should be made to the content after this date.
II. Drafting and review phase
16 March Data extractions based on the detailed chapter plans. Informa will extract data for preparing the maps, tables and figures.
20 April Delivery of Excel files by Informa for maps to be made by the GISCO team. Participating units will be contacted in case there are data issues.
18 May Delivery of Word files with the text for the publication by Informa to Unit E4. Completion of a draft set of maps by the GISCO team.
21 May-1 June Consultation with participating units on the text, tables, figures and maps + chapter separator photos.
III. Completion phase
11-15 June Informa to load finalised versions of text, tables, figures and maps in DRAFT mode in Statistics Explained.
18-22 June Consultation with participating units to approve articles in Statistics Explained.
22 June-6 July Informa will make the layout and provide Eurostat with a draft version in PDF format.
13 July Unit E4 will provide Eurostat’s comments on the first PDF version to Informa.
July - August Informa will provide Eurostat with final PDF files. Publication is sent to printing. Planning of promotional activities.
IV. Publication release and associated activities
September News release (both PDF and online version in Statistics Explained), accompanied by a new set of interactive maps in the Statistical Atlas.
October Delivery of the print version. Presentation at the European Week of Regions and Cities.

Rules and principles for the publication process

  • NUTS version: please note that all of the work for the 2017 edition of the Eurostat regional yearbook should be based on NUTS 2013.
  • Data extractions: there are two extraction dates set for the 30th January 2017 and 13th March 2017. There will not be any opportunity during the production phase to make multiple extractions of the same data. Later revisions/updates of data can not be integrated into the publication, the only exception is corrections of obvious mistakes.
  • Map production: one of the main elements of the regional yearbook is its collection of statistical maps. For detailed rules and instructions regarding the production of maps, please read a detailed article in the Regional yearbook map production tutorial. Note that the MS Excel files for map production will be produced by INFORMA based on the data that is downloaded on 30th January and 13th March 2017. Another external contractor (Bilbomatica) will be responsible for the production of the maps.
  • Colour schemes for the maps: the relevant Eurostat publication theme colours will be applied to each map as defined in the latest version of the Eurostat graphical style guide. This will make it easier to reuse the same map in other publications.
  • Drafting of chapters and processing of tables and figures: all chapters will be written in English and the tables, figures and maps will be produced in English. The tables and figures will be formatted by INFORMA using the layout rules for Statistics Explained.
  • Consultation phase with Eurostat units: draft chapters will be distributed to Eurostat units (by Åsa Önnerfors) by 28th April 2017 for comments within two weeks – as such the deadline for comments will be no later than 12th May 2017. If the person responsible for providing comments will not be available during this planned two-week period, Åsa Önnerfors in Unit E4 should be contacted in advance so that a replacement may be agreed.
  • Finalisation in Statistics Explained: once comments have been integrated the chapters will be processed and appear as draft articles on Statistics Explained. The contact persons in the units will be asked to SIGHT the articles (no changes foreseen concerning the content of each chapter, only the formatting on Statistics Explained — this will also be checked and validated by the regional unit and the dissemination unit); all articles (chapters) of the publication should be available online within Statistics Explained by 9th June 2017 (and will subsequently be used as the basis for laying out the paper edition of the publication).
