Eurostat regional yearbook 2017, draft timetable

I. Preparatory phase
16 December 2016 Deadline for Eurostat units responsible for each chapter to provide feedback on the first consultation (e-mail with questions).
First half of January 2017 Bilateral short meetings with each participating unit, E4 and Informa to brainstorm and discuss ideas regarding the content of each chapter.
18-25 January Second consultation with participating units to collect feedback on the draft version of the detailed chapter plan.
27 January Revised version of the detailed chapter plan will be distributed; no more structural changes should be made to the planned content after this date.
II. Drafting and review phase
30 January and 13 March Two data extractions, based on the detailed chapter plan, will be made by Informa. Data for maps will be delivered as a priority action.
13 February and 27 March Delivery of finalised Excel files by Informa to Unit E4 for sending to Bilbomática to produce the maps. Participating units will be contacted in case there are data issues. Informa will start drafting the text.
12 April Delivery of a full set of draft maps from Bilbomática.
28 April-12 May Third consultation with participating units on the text, tables, figures and maps + suggestions for chapter separator photos.
III. Completion phase
15-26 May Informa will incorporate changes and load the final versions of text, tables, figures and maps in DRAFT mode to Statistics Explained.
29 May-9 June Fourth consultation with participating units to approve articles in Statistics Explained.
12-22 June Informa will make the layout and provide Eurostat with a draft version in PDF format.
7 July Units B4 and E4 will send comments on the first PDF version to Informa.
July - August Informa will provide Eurostat with final PDF files.
September News release (both PDF and online version in Statistics Explained), accompanied by a new set of interactive maps in the Statistical Atlas.
October Delivery of the print version. Presentation at the European Week of Regions and Cities.

Rules and principles for the publication process

  • NUTS version: please note that all of the work for the 2016 edition of the Eurostat regional yearbook should be based on NUTS 2013.
  • Data extractions: the extraction date is set for the 4th March 2016. There will not be any opportunity during the production phase to make multiple extractions of the same data. Later revisions/updates of data can not be integrated into the publication, the only exception is corrections of obvious mistakes.
  • Map production: one of the main elements of the regional yearbook is its collection of statistical maps. For detailed rules and instructions regarding the production of maps, please read a detailed article in the Regional yearbook map production tutorial. Note that the MS Excel files for map production will be produced by INFORMA based on the data that is downloaded on 4th March 2016. Another external contractor (Bilbomatica) will be responsible for the production of the maps.
  • Colour schemes for the maps: the relevant Eurostat publication theme colours will be applied to each map as defined in the latest version of the Eurostat graphical style guide. This will make it easier to reuse the same map in other publications.
  • Drafting of chapters and processing of tables and figures: all chapters will be written in English and the tables, figures and maps will be produced in English. The tables and figures will be formatted by INFORMA using the layout rules for Statistics Explained.
  • Consultation phase with Eurostat units: draft chapters will be distributed to Eurostat units (by Åsa Önnerfors) by 27th May 2016 for comments within two weeks – as such the deadline for comments will be no later than 10th June 2016. If the person responsible for providing comments will not be available during this planned two-week period, Åsa Önnerfors in Unit E4 should be contacted in advance so that a replacement may be agreed.
  • Finalisation in Statistics Explained: once comments have been integrated the chapters will be processed and appear as draft articles on Statistics Explained. The contact persons in the units will not be asked to comment upon the articles again since the content of each chapter will already have been agreed — the formatting for Statistics Explained will be checked and validated by the regional unit and the dissemination unit; all articles (chapters) of the publication should be available online within Statistics Explained before the beginning of July 2016.
