Call for Expression of Interest for Secretary/ Administrative Assistant positions in DG HOME

We are:

DG Migration and Home Affairs (HOME) is dealing with migration and security, two of the most challenging policies that Europe is facing, and on which citizens are expecting Europe to deliver.
DG HOME’s portfolio comprises policies related to legal and irregular migration, asylum, integration, readmission and return, the management of the EU's external border, the fight against organised crime and terrorism, police cooperation. The EU also actively cooperates with non-EU countries to work together on migration- and security-related challenges.
All activities of the DG involve substantial interactions with Member States authorities, relationships with the other Institutions and relevant stakeholders, international negotiations, as well as intensive inter-service contacts.
To put EU policy into effect, DG HOME currently manages the Asylum, Migration and integration Fund (AMIF) and the Internal Security Fund (ISF) that amount to 10.9 bln euros for the period 2014-2020. In addition, DG HOME manages1.2 bln euros in security-related research under Horizon 2020 programme.

We propose:

Secretary/Administrative Assistant positions as Contract Agent FGII to provide general administrative and secretarial support.

The tasks include among others:

  • Monitor the Head of Unit’s incoming messages (mail, e-mail, telephone) and ensure appropriate attribution and follow-up.
  • Compile and follow the timely preparation of briefings, monitor deadlines and workflow (e.g. interservice consultations)
  • Organise meetings with external stakeholders: book rooms, invite participants, check and send the agenda, compile folders of working documents, draw up minutes, manage and follow up on the reimbursement of travel costs for experts, use of ABAC workflow.
  • Provide general administrative support according to incoming needs and requests (e.g. MIPS, SYSPER, ARES, GESTEM, CHAP, POETRY)
  • Recording incoming and outgoing correspondence using the Commission's archiving software.
  • Manage translation requests using the Commission’s translation software.

We look for:

A motivated colleague looking for new challenges, with a strong sense of organisation, a good resistance to stress, a strong team spirit, and resilience.
An excellent knowledge of English (written and oral) is required, as well as the knowledge of another EU language. Knowledge of French would be an asset.

Please note the following conditions in order to be an eligible candidate:

  • The candidate has passed an EPSO CAST in the required functional group (CA FGII) or the candidate is enrolled in the CAST Permanent in the required functional group (CA FGII). Click here to register your application in (CAST Permanent)
  • You must have an EU citizenship.
  • At least three years of experience in the domain of this publication is required for the post.

After a selection based on CVs, selected candidates will be invited for an interview.
Candidates should be aware that, due to the nature of DG HOME’s mandate, the DG must be able to respond rapidly in times of crisis. A flexible approach is therefore necessary with respect to responsibilities, sometimes involving temporary reassignment to a different unit.
