Q: How do we manage exchange rates when we pay our fellows in a currency other than Euro? (All calls)
A: A recruited researcher must receive, before tax and social security deductions, at least the amount of allowances defined as per the Grant Agreement and its Annexes. If, due to exchange rate fluctuations, the researcher has actually been paid a lower amount, a corrective payment is to be done by the host organisation at the end of the reporting period as an adjustment in order to compensate the previous payments. If the amount actually paid to the researcher by the host institution is higher than the one defined in the Grant Agreement and its Annexes, the host institution will have to support the extra costs with its own budget: the allowances reimbursed by the EU will not exceed those defined in the Grant Agreement and its Annexes. To manage exchange rates, we recommend to either use a euro account or to pay a fixed monthly amount estimated on a slightly conservative exchange rate with a corrective payment to pay the balance owed to the fellow made at the end of the reporting period.
