The policy on protection of individuals with regard to the processing of personal data by the Community institutions is based on Regulation (EC) N° 45/2001 of the European Parliament and of the Council of 18 December 2000. Purpose of the data treatment: Your data are collected and processed to enable the Publications Office to answer your enquiries. Collected personal data are treated according to the policy described in the above-mentioned Regulation. Data will be used only for the purpose of replying and of analyzing the errors and enquiries by Publications Office staff and their contractors in order to improve the service. The collection of data is based on voluntary agreement by the data subjects. Controller of the data treatment: The controller responsible for processing these data is the head of unit OPOCE.A.1 of the Publications Office. If you have any questions about the processing of your e-mail and related personal data, do not hesitate to include them in your message, in particular if you want to see any of your personal data we are holding, or have it changed or deleted. To whom are your data disclosed? The data collected will be treated confidentially and used only by the EUR-Lex help desk and EUR-Lex team of the Publications Office and its contractor. No personal data is transmitted to parties which are outside the recipients and the legal framework mentioned, without prejudice to a possible transmission to the bodies in charge of a monitoring or inspection task in accordance with Community legislation e.g. OLAF, or an investigating magistrate. The Publications Office will not share personal data with third parties for direct marketing. How long your data are kept? Data are kept for maximum 4 years and deleted thereafter, unless an enquiry is in progress. Then the data will be kept for the time necessary for the completion of the enquiry. How can you access to your data, check their accuracy and if needed, correct them? You have the right to request a copy of your personal details at any time to check the accuracy of the information held, and/or to correct or update this information. You may also ask your personal information to be deleted completely if no enquiry from you is in progress. To protect your privacy and security, we will take reasonable steps to help verify your identity before granting access or making corrections. What are the technical means used and the security measures to avoid misuse or unauthorized access? The Publications Office has put in place, and regularly reviews and updates, appropriate physical, electronic, and managerial procedures to safeguard and help prevent unauthorized access, maintain data security, and correctly use the information collected. Your enquiry is stored on the server of our contractor, processed and may also be forwarded by email to the expert responsible for replying to the enquiry. Such external contractors have signed a contract with the Publications Office which legally bind them to comply with the applicable legislation on the protection of personal data and the processing thereof, and more specifically with Regulation (EC) 45/2001. Staff of the EU Publications Office who have access to personally identifiable information are required to protect this information in a manner that is consistent with this Privacy Notice by, for example, not using the information for any purpose other than to carry out the services they are performing for.
