DATA PROTECTION IN THE SELECTION AND/OR RECRUITMENT PROCESS

The JRC collects and processes your personal data according to Regulation 45/2001. The selection and/or recruitment process necessarily involves the collection and use of your personal data.
How we manage your personal data is described in a privacy statement (specific to each category of staff/visitor). The privacy statement covers:
- the identity of the person processing the data;
- the purposes of the processing operation for which your data are intended;
- the recipients of your data;
- the existence of your right of access to, and your right to rectify, your data;
- the legal basis of the processing operation for which your data are intended,
- the time-limits for storing your data,
- the right to have recourse at any time to the European Data Protection Supervisor.

Criminal Record Extract
During our recruitment/hosting procedures, we will ask you to provide us with a valid and original criminal record extract* from the national database of your latest country of residence. Should you be resident in that country for less than 6 months, a valid and original criminal record extract emanating from your previous country of residence where you have been living for at least 6 months is required.
The request for a criminal record extract is linked to an obligation under the Staff Regulations (Article 28). A list of European equivalent criminal record extracts can be found here. If you so wish, you are entitled to request that your criminal record extract be returned to you after processing by our service. If this is the case, please contact us at:
* The criminal record extract should be in one of the 24 official languages of the European Union. A translation into English, French, German or the language of the country in which the JRC site is located is recommended in order to speed up our procedures. If the criminal record extract is issued in a language other than the 24 official languages of the European Union, a legalised translation into English, French, German or the language of the country in which the JRC site is located is required.
In case of doubt only, salary slips (from a chosen candidate's previous jobs) as part of the recruitment file are requested from a candidate in order to establish his/her grading. Such information is retained for a maximum retention period of 2 years and then physically destroyed.

If you are recruited, the data relating to your disability (in case special arrangements are required) will be inserted in your personal file for the whole period of your employment/your stay at the JRC.
Third Country Nationals
Before being offered a contract by the Commission, the personal data of third country nationals will be subjected to a security screening, which is tied to obligations arising from Commission Decisions 2001/844/EC of 29 November 2001 and C (94) 2129 of 8 September 1994.
