Subscription Privacy Statement

DPO- 2934.1 – July 2011

Description: Personal data related to this subscription will be processed in accordance with Regulation (EC) n° 45/2001 of the European Parliament and of the Council on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data.

Purpose: Management of a database of users made up of
  • approximately 100,000 users who have spontaneously subscribed to the Audiovisual Services' portal at http://ec.europa.eu/avservices
  • these users wish to use audiovisual material on the web (preview, download).
  • type of users: journalists, teachers, lecturers, students, lobbyists

The mailing list will also be used to send the DG COMM/A4's audiovisual service information bulletin, a weekly publication which details what is being produced by the service as well as more general information on EC related activities and includes links to other DG COMM websites that could be of interest to the recipients.

Personal data collected and further processed are:
Data necessary for the organisation and management of the registration, such as Gender (needed for the right title)/name/surname/profession/ postal & e-mail addresses/ phone number/fax number... )

Data Subjects: People interested in receiving information on what is new and available via the DG COMM Audiovisual Services. Included in this group of contacts would be journalists and other people working in written and audiovisual press, informative bodies and members of the general public. The access to the AV portal does not exclude any target groups, since everyone can register with our site. Recipients: The access to all personal data as well as all information collected in the context of this registration and subscription, and the organisation thereof, is only granted through UserID/Password to a defined population of users, without prejudice to a possible transmission to the bodies in charge of a monitoring or inspection task in accordance with Community legislation.

Data retention: People endorse once for all the copyright framework of use on our AV material. It enables also the unit to measure the audience and the use of the audiovisual portal. The personal data are retained until the data subject asks the Commission to erase them or after 24 months during which the account is not activated on the AV portal.
In this case, all personal data will be definitively deleted from the database. The dispatch of the weekly newsletter can be stopped by the "unsubscribe" function available online on the profile page.
