a. OBJECTIVE

The objective of the CAP Communication Awards is to identify the best projects in the field of communicating CAP-related issues. Applications are submitted via an online system hosted on the European Commission's Europa website. The best-practice projects which are identified will be published on the web, under the supervision of Mr Pierre SCHELLEKENS (Head of Unit E5, Internal and External communication – Directorate-General Agriculture and Rural Development), acting as controller.

As this online service collects and further processes personal data, Regulation (EC) 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by Community institutions and bodies and on the free movement of such data, is applicable.

b. WHAT PERSONAL INFORMATION DO WE COLLECT AND THROUGH WHICH TECHNICAL MEANS?

The personal data which are collected and further processed are the data necessary for participation in the competition, such as name/surname, e-mail address and phone number.

The processing of personal data linked to the organisation and management of this competition is necessary for the management and functioning of the European Commission, as mandated by the Treaties.

The system uses session "cookies" in order to ensure communication between the client and the server. Therefore, your browser must be configured to accept "cookies". However it does not collect personal or confidential information of any kind, nor any IP address from your PC. The cookies disappear once the session has been terminated.

The personal data collected, and all information related to the above mentioned competition, is stored on a computer belonging to the external contractor, acting as processor, which guarantees the data protection and confidentiality required by the Regulation (EC) 45/2001.

c. WHO HAS ACCESS TO YOUR INFORMATION AND TO WHOM IS IT DISCLOSED?

· Your data will be accessible to ICF Mostra and the European Commission’s Directorate-General for Agriculture and Rural Development (DG AGRI).

· Your name and the project summary can be published publicly on the web or in European Commission (EC) publications. 

d. HOW DO WE PROTECT AND SAFEGUARD YOUR INFORMATION?

Your submissions are recorded in a secured and protected database. ICF Mostra guarantees the data protection and confidentiality required by Regulation (EC) 45/2001. A copy of the submissions database will be transferred and stored by the European Commission (DG AGRI K1).

e. HOW CAN YOU VERIFY, MODIFY OR DELETE YOUR INFORMATION?

Should you wish to verify which personal data is stored on your behalf, or have it modified, corrected or deleted, please contact the helpdesk managed by ICF Mostra by using the Contact Information below and by explicitly specifying your request.

f. HOW LONG DO WE KEEP YOUR DATA?

Your personal identification data will remain in the database until the evaluation of the competition has been finalised, and at the latest after 5 years from the end of the competition.
